Child Care

Meet the National Quality Standard with the evidence to back it

Assessment and rating is a judgement about practice, made against evidence. Gwenda assembles the evidence continuously from the systems your service already runs, so you know where you stand before the authorised officer arrives.

The National Quality Framework, with the evidence to back it

For approved providers and services under the National Quality Framework. Gwenda tracks the seven quality areas, working with children checks, ratios, policy currency and incident records.

Discovery

What Gwenda finds, and where it finds it

Every finding names the system it came from. That is what makes it evidence rather than an assertion.

  • Clearances and qualifications about to expire

Working with children checks, first aid, anaphylaxis and asthma qualifications tracked to their expiry date, per educator, per service. Read from HR system, staff records.

  • Ratio breaches across sessions

Rostered educators against booked attendance for every room and session, with every gap identified, including the ones an average would hide. Read from Rostering and attendance systems.

  • Policies past their review date

Every policy required under the National Regulations checked for currency, ownership and educator acknowledgement. Read from Policy library, intranet.

  • Incidents against notification timeframes

Recorded incidents, injuries and complaints, and whether notifiable ones were escalated inside the window the National Law requires. Read from Incident management, childcare management software.

  • Your Quality Improvement Plan versus reality

Improvement actions with no owner, no date, or a date that has quietly passed. Read from QIP documentation.

The benchmark

The Gwenda gold standard for education and care

Meeting the National Quality Standard across all seven quality areas with evidence attached to each element, the National Law and Regulations complied with as a matter of record, and the National Principles for Child Safe Organisations demonstrably embedded. A service that is compliant on the day and unevidenced the rest of the year falls short of it.

Educator qualifications and clearances
Every educator's qualification, first aid currency and working with children check verified and in date, with expiries surfaced before they lapse.
Ratios and supervision
Educator-to-child ratios met across every session and every room, evidenced from rostering and attendance rather than anyone's assurance that they usually are.
Policies and procedures
The full set required under the National Regulations, current, reviewed on schedule, and acknowledged by the educators they apply to.
Child safety and incident records
Incidents, injuries and complaints recorded, escalated and notified to the regulatory authority within the required timeframe, with serious incidents unambiguously identified.
Programme and practice documentation
Evidence of the educational programme, critical reflection and documented child assessments across the enrolled cohort.
Governance and the Quality Improvement Plan
A current QIP, honest self-assessment, and improvement actions with owners and dates that are being met.

How it works

The same four moves, applied to your obligations.

  1. 01

    Connect

Point Gwenda at the systems you already run: identity, cloud, endpoints, code, HR, rostering, ticketing.

  2. 02

    Discover

Gwenda reads those applications and works out which controls you already have in place.

  3. 03

    Benchmark

Your posture is scored against Gwenda's gold standard for your industry.

  4. 04

    Remediate

Every gap arrives already owned, with the specific action that closes it and the evidence that will prove it is done.

Outcomes

What changes for you

  • Know your rating position before the visit

A quality-area-by-quality-area view of where the evidence supports Meeting or Exceeding, and where it does not yet.

  • Nothing expires unnoticed

Clearances and qualifications are tracked to the day, so a lapsed working with children check is caught before an educator is rostered on.

  • Multi-service visibility

For approved providers running several services, one view across all of them that still shows where each service stands on its own.

  • Evidence assembled as you go

When assessment and rating comes, the evidence for each element is already collected and dated.

See all integrations

The National Quality Standard has seven quality areas, fifteen standards and forty elements. A service that is genuinely doing the work still has to show it, element by element, at assessment and rating.

The evidence is real and it already exists: in rostering, in attendance, in staff records, in the incident log, in the QIP. It is just scattered across five systems and a filing cabinet. Gwenda brings it together and keeps it current.

Questions we get asked

Which services does this cover?

Services approved under the National Quality Framework. That means long day care, family day care, preschool and kindergarten, and outside school hours care. The National Law and Regulations apply across all states and territories, and Gwenda accounts for the jurisdiction-specific variations.

Does Gwenda replace our childcare management software?

No. Gwenda reads from it. Your CCMS stays the system of record for enrolments, attendance and daily practice; Gwenda uses that data to evidence your position against the Standard.

We are a single service, not a large provider. Is this relevant?

Yes. The National Quality Standard applies identically to a single service and to a provider running forty. The difference is that a single service has fewer people to spend on assembling evidence, which is the part Gwenda automates.

How does this relate to child safe standards?

The National Principles for Child Safe Organisations sit alongside the NQF, and several states have their own child safe standards with mandatory reporting obligations. Gwenda tracks them together, because a service has to satisfy both and the evidence largely overlaps.
